The Company Secretarial function leads, develops and manages corporate governance throughout the Group. As principal advisors to the boards of directors on corporate governance matters, the team also holds responsibility for establishing and managing stock exchange listings; directing and managing shareholder meetings and equity raisings, and representing Group interests in the development of laws and regulations.

We are currently seeking a high calibre professional to join our team as a Manager, Board Relations and Executive Events, Asia-Pacific.

Principal Responsibilities

The role holder as part of the CG&S team will drive the Functions 5 priorities

The Board Relations and Executive Events team is mandated to bring all these to live through all the events and meetings that it is delivering.

The Board Relations and Executive Events team, as part of the function, is also in the position to ensure the connection between Board and Management, to review and align the meeting schedules for the rest of the Group with the Holdings Board and Group Executive Committee, as well as to develop a consistent meeting experience for Directors and Executives.

Role:

This role is to plan and execute events on differing scales and levels for the Board and the Group Executive Committee. The role ensures that all activities are managed in a professional, timely and consistent manner, and that all proprietary events enhance the Group’s profile and showcase HSBC as one of the world’s leading brands.

The responsibilities include (but are not limited to): - Responsible for establishing agreed strategies with stakeholders in the design and implementation of the meetings/events

  • Handle all logistics and running of management meetings, leadership events, regulatory meetings, engagement events and Group Chairman and Group CEO events, from venue and catering booking, vendors’ negotiation, schedule and booklets preparation to onsite execution
  • Create and manage event registration website / events apps
  • Manage virtual / hybrid events via zoom, webcasts and other e-platforms
  • Use digital / technology driven insights to improve stakeholders experience
  • Arranging necessary production and / or audio visual support for all held meetings
  • Manage budget and expenses for all Board on and offsite meetings that is handling
  • Ensure annual planner across Holdings and HBEU, HBAP, HNAH, where applicable, are managed seamlessly with no clash of schedule
  • To manage and enhance the relationship and experience of the Board and the Group Executive Committee

Requirements

Subject matter expertise in events and hospitality market practices especially with: - Established track record in leading high profile, board level corporate events and meetings autonomously

  • Using technology to improve event experience and optimise operating efficiency to the Board(s) and its Group Executive Committee
  • Good understanding of technology developments and industry trends on virtual / hybrid event management
  • Strong stakeholder management skills, including the ability to work confidently and effectively with peers and executives across regional/global geographies in different time zones
  • Strong managerial, communications, project management, organisational, lateral thinking, strategic planning, analytical, interpersonal and leadership skills
  • Ability to think innovatively, work within an ambiguous environment, prioritise and reconcile competing demands and resolve complex issues
  • Ability to lead other team members on projects as required
  • Team player with a positive attitude and willingness to learn and share knowledge
  • Self-motivated, enthusiastic and proven rapid learning capability
  • Willing to work onsite to support / execute projects as required
  • Must have flexible approach on working hours, and have the ability to travel when required
  • Proficiency in both English and Chinese
