Human Resources Generalist (HR System)

We are currently recruiting for the following position:

Reporting to the HR Manager the responsibilities of the HR Generalist will be numerous and varied. The position takes responsibility for maintaining the Human Resources database including entering employee data, ensuring its accuracy, and the system’s integrity. She/He serves as the central control point for HR data input and payroll liaison and collaborates with HR colleagues on a variety of HR tasks and projects.

KEY AREAS OF RESPONSIBILITY:

Systems & Data Management

  • Responsible for all data management related to personnel and payroll information including data entry, data updating, and data retrieval in a centralized HR/payroll system.
  • Proactively identify process improvements and conduct system needs analysis to ensure systems are being used at maximum capacity and identify and recommend possible upgrades and/or modifications. Collaborate with functional and technical staff to coordinate the application of system implementation, upgrades, or fixes.
  • Serve as a technical point person for assigned functional areas, including any necessary system training for HR colleagues.
  • Updates system codes and HRIS system tables. This work involves an overall understanding of the entire data entry process in order to be able to correctly answer questions and provide guidance to staff.

Contract Renewal

  • Collaborate with the Compensation and Benefits Manager in the contract renewal process for faculty, administrators, and teacher assistants.
  • Prepare required documents (e.g., Letters of Intent, contracts), provide regular updates on status, and ensure deadlines are met.

Management Reports

  • Provide regular and systematic statistical management and cost reports to senior administration and divisions in order to support organizational planning and management decisions. Reports include headcount listings, budget variances, demographics, costings, recruitment, and turnover analysis.
  • Create and maintain standardized school-wide and divisional/departmental organization charts.
  • Establish and maintain a consolidated, automated school-wide employee leave tracking and attendance system.

Visa Application and Renewal Processes

  • Work closely with the Executive Secretary to manage the employment visa application process for new hires.
  • Manage the employment visa renewal process for existing staff throughout the year.
  • This includes providing relevant forms and information to employees and following up on relevant documents to ensure the process is completed in a smooth and efficient manner.
  • Communicate on a timely basis to relevant employees and follow up with HK Immigration on progress and any outstanding issues.

Teacher Registration

  • Work closely with Executive Secretary to manage the teacher registration process by collecting and collating all necessary documents from faculty as required under the teacher registration process.
  • This involves a two-part process, submitting completed files to HKCAA and Education Bureau.
  • Ensure accurate records are kept throughout the process.
  • Follow up on outstanding documents and raise concerns in a timely manner.

Recruitment

  • Assist the Recruitment Manager in facilitating the recruitment process by coordinating advertising and publications, screening potential candidates, conducting reference checks, and scheduling interview appointments.
  • Additional responsibilities may be assigned as deemed necessary.

Other

  • Support the HR team on project work as necessary (e.g. employee orientation).
  • Act as backup to the Executive Secretary of the Human Resources Office.
  • Undertake other duties and functions as required and assigned which will help impact and strengthen the contributions of the department and improve overall operations.

MINIMUM REQUIREMENTS AND QUALIFICATIONS:

Education:

  • Degree in Human Resources, IT Management or related fields.

Experience:

  • 5+ years of human resources experience, including previous involvement in HR/payroll systems.
  • Other general Human Resource administration experience an advantage.

Required skills:

  • Excellent organizational and planning skills with the ability to multi-task.
  • Ability to compile data, analyse information and identify process improvement.
  • Strong analytical and problem-solving skills, with a high level of learning agility and a growth mindset.
  • Strong interpersonal abilities and customer service skills.
  • Ability to work effectively in a team and foster productive working relationship.
  • Excellent verbal and written communication skills in English and Cantonese, Mandarin language capability is of advantage.
  • Ability to prioritize work and meet deadlines.
  • Hands-on experience in ERP implementation experience is a plus.
